It is of critical importance for Emporion and its supporting institutions to handle your personal data with the upmost responsibility, integrity, and confidentiality. In the following we wish to illuminate the most important and relevant aspects of the use of Emporion as it pertains to your data protection rights:

Although published content may be viewed on and downloaded from Emporion without account registration, personal data will nevertheless still be saved for the purpose of gathering statistical information concerning the frequency with which specific contributions are visited. Towards this end Emporion uses the open source software electronic Publications Statistics (ePuSta) developed by the Common Library Network (Platz der Göttinger Sieben 1, D-37073 Göttingen, gbv@gbv.de).

An account registration is required for the publication of open-access research data and data papers. In accordance with Chp. 1, Art. 4, No. 11 of the EU’s General Data Protection Regulation, the registration of an account constitutes consent to the processing of the personal information provided therein. In order to register one must provide the first and last names of the respective author or other individual (e.g. Secretariat) responsible for the publication of a contribution, as well as an (ideally official) email address. The date and time of one’s last login are likewise stored on the server.

In addition to those responsible for the processing of order data, administrator (and thus data-access) rights are also held by certain vested members of Humboldt-Universität zu Berlin and Berlin State Library – they can also view emails sent as part of the initial registration. Since the saving of this personal data poses little foreseeable risk to the rights and freedoms of the registrant, a data protection impact assessment is here omitted.

Towards the goal of making it easier to access open source content for scientific purposes, it is intended that all research data and data papers published on Emporion be described with and specified according to formal- and content-related Metadata and, where applicable, linked to the common authority control system operated by the German National Library. The information provided here is done so on a voluntary basis, and is meant to facilitate the wishes of Emporion users to make their own research better known. Additional personal data are collected as part of the registration process (IP-address, date, and time of registration) in order to prevent misuse of the services. 

The legal basis for the processing of registration data is Art. 6 Abs. 1 lit. e DSGVO i.V.m § 3 BDSG. The temporary storing of the IP-address is necessary in order to enable delivery of the website to the user’s computer. Therefore, the IP-address of the user must be stored for the duration of the session. Storage in logfiles helps to ensure the functionability of the website. No evaluation of this data is undertaken for marketing purposes in this context. The legitimate interest of Emporion’s operating facilities in the processing of data for these purposes is likewise stipulated according to Art. 6 Abs. 1 lit. f DSGVO.

All collected data are stored in the server infrastructure of the headquarters of the Common Library Network (Platz der Göttinger Sieben 1, D-37073 Göttingen, gbv@gbv.de). Data transmission is encrypted and occurs exclusively via the internet communication standard Hypertext Transfer Protocol Secure (HTTPS). No further transfer of personal data takes place. All personal data are stored indefintely, but never beyond the point at which consent to the use and storage of this data is revoked. Revocation of consent occurs through the deletion of one’s account. An account can be permanently deleted – and thus consent for the storage of data obtained during the registration proceess revoked – at any time by simply contacting the address listed here. The aforementioned additional personal data collected as part of the registration process (IP-address, date and time of registration) are deleted seven days after registration.
